Overview
A US-based B2B SaaS company selling a project management tool had a sales team spending 15+ hours per week manually researching prospects, writing emails, and following up — with inconsistent results. Some months they'd book 5 meetings, others none. They needed a repeatable, scalable outreach engine that ran without constant human involvement.
The Challenge
The core issue was that outreach was entirely dependent on the sales rep's bandwidth and motivation. There was no system — just a rep with a spreadsheet and a Gmail account. Lead lists went stale, follow-ups were missed, and there was no visibility into what was working. The company was leaving significant pipeline on the table simply due to lack of process.
The Solution
We built a fully automated outreach pipeline from scratch. Apollo.io was used to build targeted lead lists by industry, company size, and job title. Instantly.ai handled email sending with warmed-up inboxes to protect deliverability. n8n acted as the central orchestration layer — detecting positive replies, filtering out unsubscribes, and automatically triggering a Calendly booking link sequence for interested prospects. All activity was logged into Airtable for reporting, and the sales rep was notified via Slack only when a meeting was actually booked.
